About the role

We’re seeking an energetic and motivated Operations Assistant to join our growing team. This is a full-time and in office position in Irvine, California. As the newest addition to our Operations team, you will be responsible for tasks including assisting with daily instructor communication and attendance tracking, inventory management and distribution, and hiring screening and coordination. 

Here’s an overview of the day-to-day tasks and ongoing projects you would be managing: 

  • Administrative Support:
    • Maintains attendance tracking in collaboration Communications Coordinator
    • Support the Operations Manager with timesheet data entry, ensuring accuracy for invoicing purposes.
    • Submit timesheet corrections for any discrepancies and ensure proper documentation.
    • Additional duties as assigned.
  • Inventory
    • Manage the creation, organization, and distribution of instructor deliverables, such as badges, cords, etc.
    • Ensure the timely delivery of materials to instructors and handle any related inquiries or issues.
    • Pack and ship all materials for client programs, including curriculum kits and any additional resources required for classes.
    • Assists with coordinating shipping logistics, ensuring timely delivery of all materials to clients and instructors.
    • Assists Operations Coordinator with shipping all physical deliverables 
    • Assist the Operations Coordinator in maintaining up-to-date records of physical inventory.
    • Track incoming orders and ensure stock levels for upcoming programs and events.
    • Manage return shipments, as needed, and handle any shipping issues.
    • Occasional travel to storage space, with mileage reimbursement
  • Communication
    • Oversee and manage communication in the Instructor Slack channel, ensuring timely responses and escalation of issues to appropriate team members.
    • Prepare and distribute weekly Monday announcements to keep instructors informed of important updates and news.
    • Serve as the primary point of contact for schools and districts regarding instructor call-outs, schedule changes, and other pertinent updates.
    • Communicate with sites and districts to ensure all program details are finalized before the start of each program.
    • Ensure all communication—whether with instructors, site staff, or internal teams—is clear, timely, and effectively coordinated.
  • Recruiting 
    • Conducts both initial and final interviews as needed.
  • Additional Duties as Assigned. 

What we are seeking:

  • 1+ years of experience as an Administrative Assistant or a similar role
  • Able to work in office Monday - Friday from 9am - 5pm
  • Experience in supply chain support/management 
  • Excellent communication skills and online/phone etiquette
  • Superb organizational and time management skills
